Let customers book themselves into your calendar without the back-and-forth.

You spend your day playing phone tag. 'Can you do Tuesday?' 'No, how about Thursday?' Three calls and two voicemails later, you've booked one appointment.

Step by step

  1. Decide what can be booked online: consultations, quotes, appointments.
  2. Set your available hours, buffer time between bookings and minimum notice.
  3. Create the booking page with a few questions (name, phone, what they need).
  4. Turn on automatic confirmation and a reminder 24 hours before.
  5. Add the booking link to your website, email signature and Google Business Profile.
  6. Check your calendar syncs both ways so you don't get double-booked.

Watch-outs

A worked example

A Perth massage therapist sets up a Calendly page with her treatment types, buffer times and availability, connected to her Google Calendar. She links it from her website, Instagram bio and email signature. Bookings come in automatically, with reminders the day before.

She adds a cancellation policy to the booking page and a deposit for new clients. No-shows drop, and she gets back an hour or more a day she used to spend on the phone.

What it costs in Australia

Calendly has a free plan with one event type; its Teams plan is US$16 per seat a month (approx. A$23) and the Standard plan sits below that (check Calendly's page for AUD). Google Calendar appointment schedules are included in some Google Workspace plans, and Microsoft Bookings in some Microsoft 365 business plans. Industry tools like Fresha, Cliniko or Timely have their own pricing. If you take card payments at booking, payment processing fees apply.

Prices are approx., October 2026, converted at about A$1.43 per US$1 where the vendor charges in US dollars. Your bank may add a foreign transaction fee. Check the vendor's pricing page before you buy.

The legal bits

Booking reminders about an appointment someone made are generally fine under the Spam Act, but marketing messages added to them aren't, unless you have consent. Your booking form collects personal information, so link your privacy policy and only ask for what you need.

Privacy Act: if your chatbot or bot collects names, emails or phone numbers, that's personal information. Tell people what you collect and why, link your privacy policy, and know where your vendor stores the data (APP 8 covers sending personal information overseas). The Australian Privacy Principles apply to businesses turning over more than $3 million and to some smaller ones, such as health providers. Following them anyway is good practice and builds trust.

Questions

Does it work with my phone calendar?

Most tools sync with Google and Outlook calendars, which sync to your phone.

What about no-shows?

Reminders help. Deposits help more, if your customers will accept them.

Will customers actually book online?

Many prefer it, especially out of hours. Keep phone bookings available for those who don't.

Should I take a deposit?

It reduces no-shows. Make the cancellation policy clear before they pay.
