How to set up a document data entry bot

Pull details out of invoices, receipts or forms automatically instead of typing them in.

You've got a shoebox of receipts and a folder of supplier invoices, and BAS is due next week. Typing them all into Xero is the worst job of the quarter.

Step by step

  1. Start with receipts and bills. Your accounting software may already have capture built in.
  2. Set up an email address or app to forward receipts to.
  3. Check the first 20 captures carefully, especially GST.
  4. For other documents (forms, orders), use an AI step to extract fields into a spreadsheet.
  5. Always include a 'needs review' column for anything uncertain.
  6. Review weekly.

Watch-outs

A worked example

A Townsville landscaper photographs receipts on his phone as he gets them, using Xero's document capture. Supplier invoices are forwarded to a special email address. The software reads the supplier, date, amount and GST, and suggests a match with his bank transactions.

His bookkeeper checks it once a month. BAS prep that used to take a weekend now takes an evening.

What it costs in Australia

Xero's plans include smart document capture (Comprehensive is A$107 a month, AUD including GST); Hubdoc comes with some Xero subscriptions. MYOB lets you scan and store receipts via its MYOB Assist app on Lite and above. Dext is a separate paid tool; check its current AUD pricing. For custom workflows, Zapier's free plan gives 100 tasks a month and two-step Zaps; Professional starts at US$19.99 a month billed yearly (approx. A$29) or US$29.99 monthly (approx. A$43) for 750 tasks. Make has a free plan with 1,000 credits a month; check Make's site for current paid prices.

Prices are approx., October 2026, converted at about A$1.43 per US$1 where the vendor charges in US dollars. Your bank may add a foreign transaction fee. Check the vendor's pricing page before you buy.

The legal bits

Keep records for five years, as the ATO generally requires. Digital copies are acceptable if they're a true and clear copy. Only claim GST credits where you have a valid tax invoice. Supplier invoices may contain personal information about sole traders, so store them securely.

Is it worth it?

If you have more than 20 or so receipts and bills a month, yes. The time saving shows up at BAS time. If you're a sole trader with five transactions a month, it's still handy for keeping receipts, but less urgent.

Common mistakes

Talk to your bookkeeper or accountant before you switch tools. They may already have a preferred setup and can save you double handling.

This is a bot in the quiet sense: no chatbot, no customer contact, just software reading documents so you don't have to type them.

Questions

Is my accounting software enough?

Often yes for bills and receipts. Use extra tools only for other documents.

How accurate is it?

Good on clear documents, worse on handwriting. Always review.

Do I need to keep the paper receipt?

Generally no, if your digital copy is a true and clear record. Check with your accountant.

Will it get GST right?

Usually, but check anything unusual, especially overseas purchases.

Do this today

Find your accounting software's receipt capture feature and photograph today's receipts.
